Data Protection
The Registry is bound by the requirements of the Data Protection Act 1998. This means that any exchange of information between us, acting on behalf of the University and you as a student is covered by this legislation. It is important you know and understand both your rights and obligations under the terms of this Act. At Matriculation you will be required to sign a declaration confirming that you have understood and agree to University data requirements. Data Protection Statement - YOUR INFORMATION
It is impossible for the University of Dundee to provide your education without collecting and processing your personal data, and the following sets out the basis under which that takes place. Your personal information will be processed in accordance with the principles of the Data Protection Act 1998. In signing the matriculation form and indicating that you wish to become a student of the University you consent to the processing of your personal information for the purposes and in the ways indicated below.
- The University of Dundee collects and processes personal information (which may include sensitive personal information such as medical details) about all its students.
- Information may be provided by you, or by other agencies on your behalf such as UCAS or a referee.
- The information that the University holds about you will be kept in both manual and automated systems.
- This information is processed to:
- facilitate and administer the provision of education and training offered by the University including matriculation, administration of studies, examination, graduation, administration of student awards and fees and disclosure of information to government agencies such as the Scottish Higher Education Funding Council, Local Education Authorities, SAAS, and the Student Loans Company
- compile, monitor and analyse statistics within the University and provide statistical information where obliged to do so to government bodies such as HESA
- apply measures to detect and prevent academic dishonesty. This could include disclosure of your information to third parties contracted by the University of Dundee to assist in this process
- meet obligations imposed by law, for example when requested by the police or in the provision of student names and addresses to Local Authorities for Council Tax purposes
- confirm your results and performance to prospective employers, relevant professional bodies, and to sponsors in the form of transcripts and references, in the legitimate interests of the University and the body making the request
- advertise and market University services to you and to send promotional materials such as the University magazine
- keep and maintain University accounts and records
- provided University support services to you
- facilitate research
- prevent crime and expedite the prosecution of offenders
- The provision of information in certain circumstances may involve disclosure of your information to countries outwith the European Economic Area who may not have equivalent levels of protection for personal information to that available in the United Kingdom.
- The University will not disclose your information to any third party, other than in the circumstances above without your permission.
- You should also note that during your time as a student of the University you may be photographed and/or filmed as part of group scenes in classes or whilst on campus (i.e. you will be part of a wider group rather than the focus of any image). Such footage may be used by the University in the production of promotional material such as the prospectus.
- The University of Dundee will retain your personal information as long as it is operationally necessary to do so. Certain pieces of information will be retained beyond the termination of your student relationship with the University to satisfy obligations placed upon the University of Dundee by law, regulation and convention.
- The University recognises its obligation to ensure that information is accurate and up to date, and requests that students inform the University of any updates to their record necessitated by changes in their personal circumstances.
