Records Management Services

Introduction

The University of Dundee Records Management Programme was established in Spring 1998 to hold and manage the administrative records of the University.

Location

Records Management Services is part of the University of Dundee Archive, Records Management and Museum Services. It is located in the basement of the Tower Building in the main campus of the University.

Transferral of records to the Records Management Unit

Once records become semi-current i.e. referred to 6 times per annum or less, their transfer to the Records Management Unit should be arranged by following the procedure outlined below:

  1. Each department should have a supply of Transmittal Forms and a copy of the procedure for transmittal of records. The items for deposit and the quantities involved should be noted on the form.
  2. Phone Records Management Services to arrange for the transit of the materials and to receive a consignment number for the deposit. It would be appreciated if some advance warning of a deposit of records could be given.
    A consignment number must be obtained before a transmittal can go ahead.

Retrieval of records

Some General Points

  1. There is no limit to the number of records you can request at any one time.
  2. You may retrieve any records transferred by your own Department unless access restrictions indicate otherwise.
  3. Access to records from Departments other than you own will require written permission from the Department concerned.

Ordering Records

  1. Orders can be placed over the phone, inwriting and by fax.
    Quote the records reference number and title or give a clear description of the records. Please also give your name and location.
  2. the records will usually be photocopied and the photocopies sent to you by the next available mailing.
  3. Photocopies should be destroyed once they have been consulted.
