Dundee Directory is a telephone directory of all University of Dundee staff and associate staff found on all IP telephones.
This user guide gives an overview of how to use Dundee Directory.
A lists of frequently asked questions about the Dundee Directory is also available.
You can access the Dundee Directory by pressing 'Directories' button on your Cisco IP telephone. This displays the main directory menu which holds directories on Missed Calls, Received Calls, Placed Calls and Dundee Directory.
To select the Dundee Directory advance down the menu using the central arrow buttons and press 'Select' from the hotkeys or press number '4' on your telephone key pad.
You can search the Dundee Directory using one or a combination of three fields: Surname, Forename and Dept.
On most occasions you will want to search for a telephone number by entering a surname and so the search defaults to this option.
The characters of the name are entered using the telephone keypad which acts in just the same way as a mobile phone when used to compose a SMS message.
For example: you want to search for Dr Flintstone. The first letter 'F' is entered by pressing the number 3 (DEF) key 3 times as below:

The other characters can be entered in the same way until the whole name has been entered.
To begin searching press the 'Submit' button. Your results will show in a list format.
In this example, one entry is returned. You can simply call the person by pressing the 'Dial' button from the hotkeys or pickup your handset to automatically dial.
| Tip - Wildcard search Although it is possible to enter the full name 'FLINTSTONE', it is seldom necessary. You can save time by just entering as many characters of a name as you think will be necessary. For example you could enter the letters 'FLI' instead of entering 'FLINTSTONE'.
A 'wildcard' search will be carried out and will display a list of all of staff with surnames starting with FLI. You can use the arrow button to move the cursor down to select the person you wish to call then press the 'Dial' button from the hotkeys or pickup your handset to automatically dial that number. |
In some instances you may know that there are a lot of people who have the same part surname or part of a surname. For example searching for staff with surnames beginning with 'SMI', returns 35 hits. It is possible to enter in part (or full) of both the surname and forename.
For example, entering 'FLI' for the surname and 'J' for the forename takes us straight to Captain Flint of the Piracy studies department. A wildcard search is assumed for both surname and forename.
A new feature of the IP telephone directory is the option to search for staff by organisational unit. This can be used as normal by using the telephone keypad to enter the letters you require to search by. Again, you can search by part of a department's name.
You may know the exact name of the department you wish to search for so a 'depts' button has been introduced to provide you a list of all University of Dundee organisational units.
Pressing the 'depts.?' button will bring up a list of all unit names which can be selected for a search. You can use the arrow button to move the cursor down to select the department you wish to display a list of staff for.
| Tip - Using long lists Long lists are presented in blocks of just under 100. To move to the next block of information select the 'More' hotkey. The 'Back' hotkey takes you to the previous block. |
Contact information is displayed with prefixes to show the main campus or location of a member of staff. When you select a member of staff from the Dundee Directory to call the site code will be automatically dialled as well as the telephone number. The codes in brackets below denote the location of staff members.
At any stage you can exit the Dundee Directory by either by pressing the 'Exit' hotkey repeatedly (it only exits one level) or simply by pressing the 'Directories' button which you first used - this takes you right out of the application.
