Instructions on changing Outlook’s business days and hours in the Calendar options to reflect your work schedule. 

Creating Distribution Lists/ Contact Groups/ Public Groups

Select your Outlook version or Office 365 webmail for instructions on creating a Distribution List on your preferred method of accesing email.

Tip: What was referred to in GroupWise as a Contact List is known in Outlook 2007 as a Distribution List, Outlook 2010 as a Contact List and Office 365 as a Group.

Public Groups
New group

Users can create a Public Group (known in GroupWise as a Distribution List), which is stored in the Global Address Book. e.g. a staff list, year group or class list.

If the lists need to accept email from senders external to the central University eMail systems please submit a Service Request to "Enable a public group to accept External email."

Manage group

Public Group owners who wish to add or remove a user should follow the instructions on Managing Public Groups.

Delegate your calendar (webmail)

In webmail, this is set up differently. The instructions, Delegate Your Calendar, provide further information.

In Outlook delegating your calendar is just like delegating access to your mail.

Find a Recipient's Name to Autocomplete the "To" Field

  • Windows:
    1. Type part of the name in the "To:" field.
    2. Then click the Check Names icon to search for possible names from the directory.
  • Mac:
    1. Type part of the name in the "To:" field.
    2. Then click the  Check Names icon to search for possible names from the directory.
  • Web Access:
    1. Type part of the name in the "To:" field.
    2. Then click the Check Names icon to search for possible names from the directory.

  • Use the Outlook Junk E-mail Reporting Tool
    You can use this tool to report junk e-mail to Microsoft and its affiliates for analysis in order to help improve the effectiveness of their e-mail filtering technologies.

    NOTE: In order to find all the information needed by Microsoft services below, you will need to provide Internet headers from the spam messages. You can find the full Internet headers of a message by:
    Windows: Double clicking the message in your inbox -> File -> Properties -> Copy the text in the "Internet Headers" text field and paste into your message to Microsoft.
    Mac: Command + Clicking (right clicking) the message in your inbox and click "View Source." Copy all of the text in the Text Edit window and paste into your message to Microsoft.

Sending a message to more than 500 recipients

In Office 365 you can send a message to up to 500 contacts.

If you wish to send a message to a contact list that has more than 500 recipients, you should arrange to have your contact list set up as a distribution list by ICS.

You can do this by submitting a Service Request using the ICS Service Desk online form.
