Recruitment - Applicants

Q : If I have missed the closing date for a vacancy, can I still submit my application for consideration?
A : Once the post has closed the online system will automatically pull down the advert and as such late applications are not accepted.

Q : I want to apply for more than one position do I need to submit an application form for each post?
A : Yes.

Q : How long will it take to complete an application?
A : This will depend on the post, some jobs require more information than others. The first application will take the longest as all data requires to be entered. Further applications will just require editing of saved data. You can save your details as you go and return at a more convenient time.

Q : How soon can I expect to hear the outcome of my application?
A : Shortlisting can take some time, and can vary from post to post. If you apply online we guarantee you will receive notification of the outcome of your application. However, Please feel free to contact the relevant College HR Office directly to receive an update.

Q : I would need to relocate to Dundee, what information is available?
A : Please see our relocation pages.

Q : I would need a visa, can I still apply?
A : Yes you can, the University sponsors visa applications, please see our Certificate of Sponsorship pages.

Q : I do not have an email address. How will I receive correspondence?
A : You can register / create an email address for free with various email providers. Otherwise, we will communicate with you via letter.

Q : What should I do if I have a general enquiry?
A : Please contact the College HR Office.

Q : How do I know my application has been received?
A : You will receive an email confirming receipt, providing you submitted your application online.

Q : I don't have access to the internet, how do I apply?
A : We would like to encourage online applications, the internet can be accessed for free at many locations including libraries and the Job Centre. If you would still like to complete a postal application please contact the relevant the College HR Office.

Q : How can I view my online application history?
A : Log in to the your account and click on My Summary.

Q : I have forgotten my password, what should I do?
A : Please click on the forgotten password link on the log in page and you will be emailed a password reminder.

Q : I do not live locally, what will happen if I am invited for interview?
A : A telephone / video conference interview may be conducted in the first instance. The University will reimburse travel and accommodation expenses for interviews.

Q : I cannot make the date / time of the interview, is it possible to rearrange?
A : Where possible the University will try to accommodate such requests. However, in some cases the interview panels other commitments may prevent such re-arrangements.

Q : When will references be taken up?
A : For Grades 1 - 6, references will only be requested for the successful candidate. For Grades 7 - 10, it is standard University practice to contact referees prior to interview, please note referees will only be contacted if consent has been obtained.

Q : How do I get feedback if I have been unsuccessful?
A : Due to the high volume of applications received we only provide feedback for those candidates who have been interviewed.

Recruitment - Recruiters

Q : What are the usual Recruitment Costs for people making a Grant application?
A : In general, an advert on jobs.ac.uk is usually sufficient to attract a Post doc and this costs £100, however if advertised in Nature etc. the cost would be roughly £1,200. If a Certificate of Sponsorship is required, there is a £190 fee. Interview Expenses usually come in at £200 if the candidate is not local - this includes accommodation, travel and food costs. There may also be the possibility of relocation expenses of up to 1 months' salary (For a post doc., 1 month grade 7 salary). As these are general figures, you should contact your HR Officer for assistance with your application.

Q : How do I calculate a persons Holiday Allowance?
A : Please contact your HR Officer. He / She will assist you with the calculation. If you are unsure who your HR Officer is, please go to the HR Team pages, then click on the abbreviation of the area in which you work ie: SASS / CASS / CASE / CLS / CMDN. The people listed in the lower half of the screen are your HR Team. Your HR Officer(s) will be identifiable through their job title which will be stated below their name.

Q : I have a new member of staff starting, how do I obtain their IT logon details, and confirmation of their email address?
A: You / your departmental IT person, should log a call with the ICS-ServiceDesk (Ext. 88000 / Email : ICS-ServiceDesk@dundee.ac.uk) advising that you have a new starter within the department and that you require confirmation of their logon details and email address. When logging this call, you should also advise which drives/folders/applications, you wish for the person to have access to. (Tip : If someone in your department already has the same type/level of access you need, advise ICS that the new person should be set up the same as X.)

Q : I have a person working in my department, but they are not paid by the University and they do not have a formal contract of employment with the University. I need for them to have access to the University's IT facilities, and to have a University email address. Is this possible?
A : Yes, you can request that the person be granted Associate Status. There are 2 schemes in operation by the University, one run by ourselves in Human Resources, and one run by ICS. Please review the following links before deciding which scheme best suits your requirements.

Q : I need to request an Honorary, University of Dundee contract. How do I do this?
A : You will need to submit a letter requesting the Honorary appointment to the Dean, along with the persons CV. This will be discussed at College Board, and then sent to Senate for consideration.

Employees - New Staff

Q : How do I obtain a Staff ID Card?
A : After we (Human Resources), have received your signed contract, we will send you notification of your Staff Identification Number. In order to produce your Staff ID card, you should wait until you have started your employment with the University, and then take the notification form with you to the main reception area of the Registry Department where facilities are available Thursdays, between 1.00pm - 4.30pm. (A map showing the location of the Registry (Building 55 on Campus Map).

A : Please print off, complete, and return to your College / SASS HR Officer, the Change of Personal Details form.

Q : I have received a copy of the Staff Record Form through the internal mail. Is it possible to complete this electronically?
A : Yes. An electronic version of the Staff Record Form has been made available. This can be found within our Forms page. You will see that the form is available in a variety of formats. If however the format you require is not available, please contact us directly personnel@dundee.ac.uk

Q : I need information regarding the Staffing Profile of the University. Information such as : Staff Numbers / Staff attached to a specific College, Directorate, School, Department, Unit / Historical Data / Current Data
A : Please take a look at our Staffing Profile. If the information you require is not listed, please follow the guidelines provided within the Notes section of the Staffing Profile.

Q : I am looking to send a mailing out to all / some University staff. What would be the best way to do this?
A : You may wish to consider issuing a message through HERMES. If however this does not meet your needs, and you are wanting to issue a hard copy mailing, please complete and submit a Request for Mailing Labels Form.
