Invigilation of Examinations


Senate Minutes 1974-75 no.28, p.55

The Senatus gave further consideration to a memorandum on the invigilation of degree, diploma and certificate examinations and to notes on comments made by Faculty Boards. A vote was taken on a proposal that responsibility for the allocation of invigilation duties to individuals should rest with the Examinations Office and not with heads of departments. The proposal was rejected by 16 votes to 11.

The Senatus decided:

(i) that from and including the May-June 1975 diet of examinations the procedures outlined in Appendix "B" should be introduced;

(ii) that all full-time members of academic, library and administrative staffs except (at May- June and August-September diets only) members of clinical medical and dental departments should be liable to undertake invigilation as part of their normal duties.

APPENDIX "B" - INVIGILATION OF DEGREE, DIPLOMA AND CERTIFICATE EXAMINATIONS (Minute 43)

1. May-June Diet

The total number of invigilators required will be determined by reference to the total number of candidates entered for the examinations held during the diet and their distribution between examination halls. To assess the contribution to be made by each department the following calculations will then be made. (Note: the staff of medical and dental clinical departments would not be called upon to invigilate at this diet).

(a) Total number of invigilators required = 500
Total number of staff liable for invigilation duties e.g. 400
= Number of invigilation sessions by each member of staff or "S" = 1.25

(b) Number of full-time academic staff of department x "S" e.g. 20 x 1.25
= departmental invigilation load = 25
i.e. the department concerned will be required to contribute 25 members of staff (or to provide invigilation at 25 sessions of examination)

The invigilation sessions for which staff of individual departments are required will be determined in the Examinations Office, noted on a list in the form shown in the Appendix * and distributed to heads of departments for completion and return. Finally a note will be sent to invigilators informing them of the date(s) and time(s) of their examination sessions and enclosing a copy of the regulations governing the conduct of examinations. Every invigilator will be advised that there is no reserve of invigilators and that should he find it impossible to attend on any occasion it would be his responsibility to find a substitute, normally from his own department.

2. August-September Diet

Similar arrangements will be made to those outlined above for the May-June diet. An estimate of the numbers of invigilators required will be made and details will be sent to heads of departments with the May-June lists.

3. March, November-December Diets

Responsibility for the provision of invigilators during these examination diets will rest with the appropriate faculties. In the case of medical and dental examinations the Faculty of Medicine may wish to call upon the services of clinical staff who are not required to take part in the arrangements for the remaining, larger diets of examination.

4. Special Arrangements

A candidate who, because of some disability, has to take an examination in a separate room will be dealt with by the department concerned which, in consultation with the Examinations Officer, will provide a room and arrange for invigilation. It will be the responsibility of the invigilator to collect a copy of the examination paper in the normal way.
